What we collect
When you book a free strategy session: your name, email, phone number, the time you choose, which service you’re interested in, and the details you share in our form, like your planned test date, practice and target scores, application cycle, stage, target schools, how you heard about us, and any message.
When you sign up for the newsletter, study guide, or Anki deck: your email address and which list you joined.
When you book and pay for sessions: your name, email, session times, and payment details. Card numbers are entered directly into our payment processor, Stripe. We never see or store your full card number.
While we work together: anything you share with your tutor or advisor, such as practice test results, personal statements, activity descriptions, secondary essays, and the emails and notes that go with them.
When you visit the site: basic, anonymous usage statistics, like which pages are visited and which buttons are clicked, through Vercel Web Analytics. It doesn’t use cookies and doesn’t identify you personally.
Cookies: while you fill out the strategy session form, your answers are saved in a cookie on your own device so you don’t lose them if you leave or refresh the page. It’s deleted as soon as you book, or after 7 days. We don’t use advertising or tracking cookies.
How we use it
- To reply to your request and match you with a tutor or advisor
- To schedule, deliver, and bill for your sessions
- To send the newsletter or free resources you asked for
- To understand which parts of the site are useful so we can improve them
- To meet legal, tax, and accounting obligations
We don’t sell your information, rent it, or share it with advertisers. We don’t use your materials to train AI models or share them with other students.
Services we use
We rely on a small number of providers to run the business. Each one only receives what it needs to do its job:
- Vercel hosts the website and provides anonymous analytics
- Stripe processes payments
- Resend sends our emails, including booking confirmations and reminders, and stores our email lists
- Zoho Mail hosts our business email
- Zoho Calendar holds our strategy session bookings and your answers to the booking form
- Google Calendar and Google Meet handle calendars and video calls for strategy sessions, tutoring, and consulting
- YouTube hosts our video walkthroughs. If you watch one, YouTube’s own privacy policy applies
We may also disclose information if required by law, or to protect our rights or someone’s safety.
Session recordings
We don’t record sessions unless you ask us to and everyone on the call agrees.
How long we keep it
- Application materials (essays, activities, drafts): deleted within 12 months after we stop working together, or sooner if you ask.
- Email lists: until you unsubscribe. Every email has a one-click unsubscribe link.
- Payment and billing records: as long as tax law requires, typically up to 7 years.
- Strategy session requests from people who don’t become students: deleted within 12 months.
Your choices and rights
You can ask us to show you, correct, or delete the information we have about you at any time. Email help@nucleusprep.com and we’ll respond within 30 days. We may keep records we’re legally required to keep, like payment records.
Security
We use encrypted connections throughout the site, keep access to student materials limited to the people working with you, and use two-factor authentication on our business accounts. No system is perfectly secure, but we take reasonable steps to protect your information.
Age
Our services are meant for college students and graduates. We don’t knowingly collect information from anyone under 13. If you’re under 18, please have a parent or guardian review our Terms of Service before you sign up for paid services.
Changes to this policy
If we make meaningful changes, we’ll update the date at the top of this page, and we’ll email current students about any change that affects them.
